WOODEND ARTS ASSOCIATION MINUTES OF THE 11th ANNUAL GENERAL MEETING held on 3 March 2005 at 8.15pm at the Woodend Barn Present: 5 members of the public plus Management Committee members excepting GM. Apologies: Graham MacDonald 1. Minutes of last AGM FH, MD seconded Approved: Unanimously 2. Convenor's Report Attached 3. Treasurer's Report Attached Despite many challenges, 2004 was another very successful year for WAA with 100 performances and workshops and around 10,000 people using the Barn (including 880 at events involving community group hires). Financially, we reduced our operating deficit from £9,103 to £1,832. Rental income was slightly down but this is predicted to rise significantly in 2005/06 due to increased marketing. Proposed: DMacM & Maggie Approved: Unanimously 4. Appointment of Auditor Clare Martin was happy to continue with Williamson & Dunn Approved: Unanimously 5. Membership Fee It was proposed that the Friends fee should remain at its present level. Approved: Unanimously 6 Appointment of Management Committee All current members stood again and, there being no other candidates wishing to stand, they were reelected unopposed. Maggie Dornan indicated that she intended to stand down as Secretary at the end of March 2005. MH proposed a warm vote of thanks to Maggie who had acted as Secretary & membership secretary since 1998. The Chair inidicated that ManCom is constituted to run with a minimum of 7 members & a maximum of 15. JS & James Burnett are ex-officio members. More members should be actively recruited & co-opted until the AGM in 2006. It was agreed that new ways of attracting members should be explored. e.g. an article in The Piper. 7. Appointment of Officers The Convenor asked if there was anyone wishing to become an Officer of WAA. There were no volunteers. The existing Officers then offered themselves for re-election. Convenor - Mark Hope Secretary - Margaret Dornan [to be replaced at the end of March 2005 when she wishes to stand down]. Treasurer - Jonty Rose All unanimously Approved. 8. Any Other Business á The Church Development at the bottom of the road - JB reported that the planning application had been submitted & that it would be a minimum of 8 weeks in process. á JB also reported that there was a proposed development of Playing fields in the fields south of the Barn. á Patrons Both the following had been George Donald Paul Anderson - Arrangements to be formalized - vote of thanks to both á Third Stage - would like to donate a bench to the Barn to be used in the new garden development. JS recommended that they liaise with JR & RT. á Mindy Grewar Arts Development Officer for South Aberdeenshire reported that the Partnership with the council had be very trouble free & offered her congratulations to all at WAA & described the Barn as a - 'terrific asset to the community' á MH proposed a vote of thanks to Jeff Martin for her skilled help & advice in the re-development of the kitchen. á MH proposed a vote of thanks to all staff & volunteers of WAA. á MH acknowledged the tremendous work done & the huge achievements of Third Stage & noted that it was in its 3rd & final year of funding. á MH thanked Mindy Grewar & Aberdeenshire Council for their continued support. á The meeting thanked MH for his help & commitment to WAA.
